In shortRytela Inc. operates Video Intros. This policy covers the Video Intros websites and service.
Video Intros is a product and service of Rytela Inc. “Rytela,” “Video Intros,” “we,” “us” and “our” mean Rytela Inc. This policy applies to personal information we handle through videointros.com, app.videointros.com, and the Video Intros recording, delivery, client-page, messaging, analytics, administration and assistant features (the “Service”).
It applies to people who visit our websites, people who request access, the businesses and professionals who use the Service and their team members (“customers” and “users”), and the people who receive Video Intros or whose information a customer enters (“recipients”).
Two roles
We handle information in two ways. For some information, such as account details, our own records and website visits, Rytela decides how and why it is used. For other information, such as the client names, phone numbers and videos a customer puts into the Service, Rytela processes it on the customer’s behalf to provide the Service to that customer, and the customer decides how it is used. The right description can depend on the information and the purpose, and we also use limited information for our own purposes described in this policy, such as security and improving the Service.

02Information we collect
In shortWe collect what is needed to run the features being used: account and contact details, the content you create, and technical information about how the Service is used.
What we collect depends on which features are used. We do not collect every category below from every person.
Information you or your organization provide
- Contact and account information, such as name, email address, telephone number, role or title, and sign-in details.
- Organization information, such as company name, website, logo, brand colors, time zone, business contact details, credentials, reviews, statistics and other material shown on client pages.
- Profile information for team members, such as name, title, photograph, contact details, website, review links and social profile links.
- Requests for access, such as the name, work email, company, industry, team size and message you send through our website.
- Billing and transaction information, if you purchase a paid plan. Payment card details are handled by our payment processor rather than stored by us.
- Communications with us, such as support requests and feedback.
Content created with the Service
- Video and audio recordings, including the voice, face and image of the person recording, and animated previews made from them.
- Photographs and images, such as profile photos, logos and badges.
- Scripts, prompts, text and instructions, including page copy and message templates.
- Message content sent or received through the Service, and delivery status reported by messaging providers.
- Interactions with AI features, including what you submit to the Video Intros assistant or other AI features and the responses generated.
Information about clients and contacts, provided by customers
- A recipient’s name and telephone number, and where provided other contact details.
- Appointment and context information, such as the date, time and type of an appointment or update.
- Any other information a customer chooses to include in a video, script or message.
Information collected automatically
- Usage and engagement information, such as whether a recording link or client page was opened, whether a video was started, how much of it was watched, and which links on a page were tapped.
- Device and browser information, such as browser type and general device category.
- IP addresses and log information, used for security, rate limiting, troubleshooting and sign-in records.
- Technical diagnostics and metadata, such as file sizes, durations, timestamps, error reports and delivery receipts.
- Cookies, as described in “Cookies and similar technologies.”
Information from other sources
- Service providers, such as messaging providers that report whether a message was delivered or that a recipient opted out.
- Integrations you authorize, such as a calendar, customer-relationship or lead source you choose to connect, where those integrations are available.
- Publicly available business information, such as a business’s public review rating displayed on a client page at the business’s direction.
03How we use information
In shortTo provide Video Intros, keep it secure, support you, understand how it performs, and improve it.
We use information for the following purposes:
- Providing the Service: creating, generating and delivering Video Intros, running scheduling and appointment workflows, showing client pages, sending and receiving messages, and authenticating users.
- AI functionality and personalization: operating AI features and tailoring content to the customer, team member and recipient.
- Customer support: responding to requests and troubleshooting problems.
- Security: protecting the Service, and detecting and preventing fraud, abuse and misuse.
- Analytics and measurement: understanding how the Service is used and how Video Intros perform, and reporting engagement to the customer that sent them.
- Product development and improvement: quality assurance, research, testing, improving reliability, improving algorithms, workflows, prompts, automation and AI systems and features, and developing new Video Intros and Rytela features.
- Communicating with you: sending service messages, responding to your requests, and, where permitted, telling you about Video Intros.
- Legal and compliance: complying with law, responding to lawful requests, and enforcing our agreements.
Automated systems, including AI, may analyze content and interactions as part of these purposes. We may also create de-identified or aggregated information, which does not identify any individual, and use it for any lawful purpose, including research and publication.
Where the law requires a legal basis for processing, we rely on performing our contract with you or your organization, our legitimate interests in operating, securing and improving the Service, compliance with legal obligations, and consent where consent is required.
04Artificial intelligence and automated processing
In shortAI features process what you give them. Some run through third-party providers. We use content and interactions to improve our own features, and we do not promise how any provider treats data beyond our agreements with them.
Video Intros may use artificial intelligence, machine learning, generative AI and other automated systems. We distinguish four things:
- Providing the feature. When you use an AI feature, the content and instructions you submit, and related context such as your name, your organization and the request involved, are processed to produce a response. This is necessary for the feature to work.
- Analytics and product improvement. We may review and analyze content, usage and AI interactions to measure quality, fix problems and understand how features are used.
- Improving Rytela’s own systems. We may use content and interactions to improve our own prompts, workflows, automation and AI features. This does not mean that every piece of customer content is used to train an AI model.
- Third-party AI providers. Some AI features are powered by third-party artificial intelligence and technology providers. We send them the information needed to perform the feature. Their handling of that information is governed by our agreements with them and by their own terms. We may change providers over time.
We do not state in this policy that a third-party AI provider does or does not use information to train its models, because that depends on the provider and on the terms in effect. If this matters to you, contact us and we will tell you which providers we currently use for AI features and what our agreements with them say.
AI output can be inaccurate. We do not use AI on the Service to make decisions that produce legal or similarly significant effects about individuals without human involvement.
05Video, audio, images, face and voice
In shortRecordings are stored so they can be delivered to the people they were made for. We do not build biometric templates from them.
Video Intros are recordings of real people, so they contain a person’s face, voice and image. We store recordings, generate derived formats such as animated previews, and display them to the recipients a customer selects and within the customer’s account.
No biometric templates. As of the effective date of this policy, we do not use recordings or photographs to create face-geometry scans, voiceprints or other biometric templates, and we do not use them to identify or recognize individuals. If we introduce a feature that would do so, we will give notice and obtain consent as the law requires before it is used.
Customers are responsible for having the permission of the people who appear in the content they provide, as described in our Terms of Service.
Client pages and recording pages are private by design: they are reached through a link created for a specific request, they instruct search engines not to index them, and the links can expire or be revoked.
06We do not sell personal information
In shortWe do not sell your personal information or your clients’ personal information. We do disclose information to the providers that help us run the Service.
Rytela Inc. does not sell users’ personal information, or the personal information of their customers and clients, for money. Video Intros does not operate a business model based on selling personal data to data brokers or anyone else.
Some laws define “sale” or “sharing” more broadly than an exchange for money, for example to include disclosing personal information for cross-context behavioral advertising. As of the effective date of this policy, we do not sell or share personal information in that broader sense either, and we do not use third-party advertising trackers on our websites or on client pages. If that changes, we will update this policy and provide any notice and opt-out the law requires.
Not selling information does not mean no one else ever processes it. Operating a service like this requires the disclosures described in the next section, which are made so that others can perform services for us, at a customer’s direction, or as the law requires.
07How we disclose information
In shortTo service providers who work for us, to the people a customer directs us to, and where the law or a business transaction requires.
We disclose personal information in these circumstances:
- Service providers and subprocessors that help us operate the Service, including providers of cloud hosting, databases and storage, content delivery and video processing, analytics, communications and messaging, email delivery, artificial intelligence, payment processing, security and authentication, and contractors who work on our behalf. They may use the information only to provide services to us.
- At a customer’s direction, including delivering a Video Intro and its page to the recipient the customer chose, and exchanging information with integrations the customer connects.
- Within a customer’s organization: administrators can see and manage the content and profiles of their team members.
- Legal and safety reasons: to comply with law or lawful requests, to enforce our agreements, and to protect the rights, property or safety of Rytela, our customers or others.
- Business transactions: in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business or assets, subject to appropriate confidentiality protections.
- With consent, or in de-identified or aggregated form that does not identify an individual.
A current list of the categories of providers we use, and the names of key providers, is available on request.
08If you received a Video Intro
In shortThe business that sent it chose to contact you. You can ask that business, or us, about your information.
If you received a text message or link from a business using Video Intros, that business gave us your name and phone number so the message could be delivered, and it decides why and how you are contacted. We use that information to deliver the Video Intro, to show the business whether it was delivered, opened and watched, and for the security and service purposes described in this policy.
To stop receiving messages, reply STOP to the message where that is supported, or contact the business. To ask about, correct or delete your information, contact the business that sent the Video Intro. You can also write to us and we will direct your request to that business or act on it as the law requires.
09Phone numbers and messaging
In shortPhone numbers are used to deliver messages. They are not sold or given to others for their own marketing.
We use phone numbers to send recording requests to team members and Video Intros to recipients, through messaging providers acting on our behalf. Message and data rates may apply. Delivery is not guaranteed.
We do not sell phone numbers or messaging consent, and we do not disclose them to third parties or affiliates for their own marketing or promotional purposes. Messaging providers and carriers receive phone numbers and message content only to deliver messages and to meet their own legal and network obligations.
Opt-out requests are recorded so that further messages are not sent to that number through the same channel.
11Retention and deletion
In shortWe keep information for as long as it is needed for the purposes in this policy, then delete or de-identify it.
We keep personal information for as long as needed to provide the Service to the customer it relates to, for the other purposes described in this policy, and as required by law. How long depends on the type of information, the customer’s settings and instructions, and our legal obligations.
Recordings are removed from active storage when a video is replaced, when a request is deleted by the customer, or under our retention practices, and access through a link ends when the link expires or is revoked. Copies may remain in backups for a limited period before they are overwritten. We may keep de-identified or aggregated information, and records we need for security, dispute resolution, tax, accounting and legal compliance.
Customers can delete requests and content within the Service, and may ask us to delete their organization’s information when they stop using it.
12Security
In shortWe use reasonable safeguards, but no service can promise perfect security.
We use administrative, technical and organizational measures designed to protect personal information, including private storage for recordings, access links that are unique to each request, encryption in transit, and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account and any links sent to you confidential.
13Your choices and rights
In shortYou can ask to see, correct or delete your information. Some rights depend on where you live.
Depending on where you live, you may have the right to know what personal information we hold about you and how it is used, to access or receive a copy of it, to correct it, to delete it, to object to or limit certain processing, to opt out of the sale or sharing of personal information and of targeted advertising (we do not do either), to appeal a decision we make about your request, and not to be treated unfairly for exercising your rights.
To make a request, write to [email protected]. We will verify your identity before acting, and an authorized agent may act for you with proof of authority. If your information was provided to us by a customer, we may refer your request to that customer, who decides how the information is used.
You can opt out of marketing email from us by using the unsubscribe link in the message. Service messages may still be sent.
14Where information is processed
In shortVideo Intros is operated from the United States, and information is processed there.
Rytela Inc. is based in the United States, and the Service is operated from and directed to the United States. Information is processed and stored in the United States and in other countries where our service providers operate, whose data-protection laws may differ from those where you live. By using the Service, you understand that your information will be processed in those locations.
15Children
In shortVideo Intros is a business service and is not for children.
The Service is intended for businesses and professionals and is not directed to children. We do not knowingly collect personal information from anyone under 18 as a user of the Service. If you believe a child has provided us personal information, contact us and we will delete it.
16Third-party sites and services
In shortOther companies’ sites and services have their own privacy practices.
The Service may link to or integrate with websites and services we do not operate, such as a business’s own website, review pages and social profiles shown on a client page. Their privacy practices are governed by their own policies, not this one.
17Changes to this policy
In shortWe will update this page when our practices change.
We may update this policy from time to time. The date at the top shows when it last changed. If a change is material, we will give notice, for example by posting a notice in the Service or by email, before the change takes effect where the law requires it.
